1 Who we are

BetaHive is a beta testing marketplace platform operated by CorePlex AI, accessible at coreplexai.com and betahive.co.

In this Privacy Policy, "BetaHive", "we", "us", and "our" refer to CorePlex AI and its platform. "You" and "your" refer to any individual who accesses or uses the BetaHive platform, whether as a beta tester, product builder, or visitor.

CorePlex AI is based in Australia and is bound by the Australian Privacy Principles (APPs) contained in Schedule 1 of the Privacy Act 1988 (Cth).

2 Information we collect

Information you provide to us

• Account registration: Your full name and email address when you sign up as a tester or builder.
• Profile information: Optional details you add to your profile, such as areas of interest, expertise, or product categories.
• Feedback submissions: Your written feedback, ratings, bug reports, and other responses submitted when testing a product listed on BetaHive.
• Builder product listings: Product name, URL, description, testing task details, and any other content you submit to list a product on the marketplace.
• Support communications: Emails, messages, or other correspondence you send to our support team.
• Payment information: Where applicable, billing details processed through Stripe. We do not store your card number or full payment credentials on our servers — these are handled directly by Stripe.

Information collected automatically

• Usage analytics: Pages visited, features used, time on platform, click patterns, session duration, and navigation flow.
• Device and technical data: Browser type and version, operating system, device type, screen resolution, and referring URL.
• Log data: IP address, timestamps of access, and error logs collected by our hosting infrastructure (Netlify for the frontend, a VPS for the API backend).
• Cookies and local storage: Session identifiers, preferences, and authentication tokens. See Section 5 for details.

Information we do not collect

We do not collect government identifiers (e.g., tax file numbers, passport numbers), financial account details beyond what Stripe requires for billing, biometric data, or sensitive personal information as defined under the Privacy Act.

3 How we use your information

We use the information we collect for the following purposes:

• Platform operation: Creating and managing your account, matching testers to appropriate products, delivering feedback reports to builders, and processing credit awards.
• Communications: Sending account notifications, new product alerts, credit balance updates, and transactional emails (e.g., sign-up confirmation, feedback submission receipt). You may opt out of non-transactional emails at any time.
• Payment processing: Facilitating subscription payments from builders and credit redemptions by testers via Stripe.
• Platform improvement: Analysing aggregate usage patterns to improve features, identify bugs, and prioritise development.
• Safety and security: Detecting fraud, spam, and abuse on the platform; enforcing our Terms of Service.
• Legal compliance: Meeting obligations under Australian law, including the Privacy Act and Australian Consumer Law.
• Marketing (with consent): Sending promotional communications about BetaHive features or partner products where you have opted in. You can unsubscribe at any time.

We do not use your personal information for automated decision-making that produces legal or similarly significant effects on you without human oversight.

4 Third-party services and sharing

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

We share your information only with the following categories of trusted service providers who assist us in operating the platform:

Infrastructure and hosting

• Netlify — Hosts the BetaHive frontend. Netlify may collect standard web server log data including IP addresses. See Netlify's privacy policy.
• VPS hosting provider — Hosts the BetaHive API backend. Access to personal data is limited to operational purposes and is governed by a data processing agreement.

Payment processing

• Stripe — All payment card data and billing transactions are handled by Stripe, Inc. BetaHive does not store payment card numbers. See Stripe's privacy policy.

Analytics

• We may use privacy-respecting analytics tools to understand platform usage. Where any analytics tool processes personal data, we ensure appropriate safeguards are in place.

Legal disclosures

We may disclose your personal information if required to do so by law, court order, or government authority, or if we reasonably believe disclosure is necessary to protect the rights, property, or safety of BetaHive, our users, or the public.

Business transfers

In the event of a merger, acquisition, or sale of all or part of our business, your personal information may be transferred to the relevant third party. We will notify you via email or prominent notice on the platform before your information becomes subject to a different privacy policy.

5 Cookies and tracking technologies

BetaHive uses cookies and similar technologies (such as local storage) to operate the platform and improve your experience.

Types of cookies we use

• Strictly necessary: Session cookies that keep you logged in and maintain your authentication state. These are required for the platform to function and cannot be disabled.
• Functional: Cookies that remember your preferences (e.g., tester vs builder mode, notification settings).
• Analytics: Cookies that help us understand how users navigate the platform (e.g., pages visited, time spent). These are used in aggregate and do not identify you personally.

Managing cookies

Do Not Track

We respect Do Not Track (DNT) signals where technically feasible. We do not engage in cross-site tracking or serve behavioural advertising.

6 Data retention

We retain your personal information for as long as your account is active or as long as is necessary to provide you with services and comply with our legal obligations.

• Account data (name, email, profile): Retained while your account is active, plus up to 2 years after account closure for legal and audit purposes.
• Feedback submissions: Retained for the duration of the associated product listing and up to 3 years after the listing ends, to maintain platform integrity and resolve disputes.
• Payment records: Retained for 7 years in accordance with Australian tax and accounting obligations.
• Usage analytics: Aggregate data may be retained indefinitely; individual session data is anonymised after 12 months.
• Support communications: Retained for 2 years after resolution.

When data is no longer required, we securely delete or anonymise it.

7 Your rights and choices

Under the Australian Privacy Principles and applicable law, you have the following rights regarding your personal information:

• Access: You have the right to request a copy of the personal information we hold about you.
• Correction: You have the right to request that we correct inaccurate or incomplete information.
• Deletion: You may request that we delete your personal information. We will comply where legally permitted to do so (some data may be retained for legal or audit obligations as described in Section 6).
• Opt-out of marketing: You may unsubscribe from non-transactional email communications at any time using the unsubscribe link in our emails or by contacting us.
• Portability: You may request a machine-readable copy of the data you have provided to us.
• Withdrawal of consent: Where we rely on consent to process your data, you may withdraw that consent at any time.

8 Children's privacy

BetaHive is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13 without parental consent, we will take steps to delete that information promptly.

9 Data security

We implement industry-standard technical and organisational security measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. These include:

• HTTPS/TLS encryption for all data in transit
• Encrypted storage for sensitive data at rest
• Access controls limiting data access to authorised personnel only
• Regular security reviews of our infrastructure
• Stripe PCI DSS compliance for payment card data

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that is likely to result in serious harm, we will notify you and the OAIC as required under the Notifiable Data Breaches (NDB) scheme.

10 International transfers

BetaHive operates primarily in Australia. Some of our third-party service providers (such as Netlify and Stripe) may process or store your data outside Australia. Where this occurs, we take steps to ensure those providers implement appropriate safeguards consistent with the Australian Privacy Principles, including data processing agreements and standard contractual clauses where applicable.

By using BetaHive, you consent to the transfer of your information to third-party service providers that may be located outside Australia, subject to the protections described in this policy.

11 Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will:

• Update the "Last updated" date at the top of this page
• Notify registered users by email where the changes are significant
• Post a prominent notice on the BetaHive platform for a reasonable period
